Subject matter and purposes of data processing

In order to receive your application and to ensure that any winners are notified, we process the following personal data of yours as mandatory fields: Salutation; your first and last name; the name of the company you work for and your work email address. In addition, you can voluntarily provide us with the following data: your professional telephone number and the name of your Wilo contact person. If the material you submit depicts people, we also process personal data of the people depicted. Please ensure that you have obtained the consent of the persons depicted before submitting the material and that you comply with any further local data protection regulations.

In the event of a win, we will use your surname and first name as well as photos and, if applicable, videos to document and publish the winner and his project within the Wilo Group, on our websites, on the social media presences operated by Wilo (Facebook, Instagram, LinkedIn, YouTube, WeChat if applicable) and in print media.

In addition to the personal data mentioned above, we also process the following project-related data in order to include the project in your application in the Wilo reference database and to link it to you as the responsible contact person: name of your project, as well as the city/municipality/province of the project and a project description with corresponding photo/video documentation. The background to the processing of project-related data is that we may use the project for communication in the social media presences operated by Wilo, on our websites, in photos, videos, print media and for Wilo's internal communication and that we would like to contact you by using your personal data. Your contact details for the Wilo reference will be made available for use within the entire Wilo Group, so that the above-mentioned subsidiaries of WILO SE can also receive and process your data. In addition, external third parties may be able to view your project in the Wilo reference database, if necessary linked to the company name you have provided.

Legal basis for data processing

We process your personal data on the basis of your consent in accordance with Art. 6 (1) (a) GDPR. If people are depicted on the submitted image material, we process the data on the basis of the consent of the data subjects obtained from you and assured to us.

Recipients / categories of recipients of the data

The recipients of your personal data for participation are WILO SE's internal bodies that are entrusted with the implementation of the award. In the event of a profit publication, your data potentially receives readers, intranet and Internet users worldwide. If the project is included in the reference database, Wilo subsidiaries worldwide will also receive potential access to your contact details.

Transfer of data to a third country

A transfer of the data to a third country may take place insofar as readers and users from all over the world could view the award communication. In addition, Wilo subsidiaries from third countries have the option of inspecting and using your personal data about the project in the reference database. There is a data protection framework agreement with the Wilo subsidiaries that legally secures intra-group data transfers with the appropriate data protection guarantees.

Duration of storage

We will include the winning photo/video in our archive in order to be able to make an award documentation later. Please note that data published on the Internet may remain permanently available and Wilo cannot bring about or guarantee the complete deletion of the data. The data for participation in the award will be stored for a maximum of 9 months after the deadline for applying for the award. If we store your personal data in the context of the reference database, your data will remain stored there for as long as the use of the data can fulfil the necessary purpose.

Rights of the data subject

You yourself and the persons depicted in the images can revoke the consent at any time for the future without giving reasons to the controller, e.g. under pioneeraward@wilo.com.

Furthermore, you and any other data subject have the following rights under the GDPR: information Art. 15, rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20), objection to processing (Art. 21), complaint to a supervisory authority (Art. 77 in conjunction with § 19 BDSG).
